Drivalia Van Rental Terms: Please Read Carefully

The below Rental Terms apply ONLY for Bookings made through our website (drivaliavans.co.uk). For bookings made through other websites please refer to their advertised terms and conditions or your rental voucher.


1. Booking Procedure

Our booking reservation systems show you real-time availability and your reservation will be confirmed instantly. We offer a simple yet comprehensive booking process that will allow you to reserve your vehicle easily.

Select pick-up and drop-off, location, dates and times. Available vehicle groups will be displayed. You can filter our excess package results cover on the check-out page. Fuel type, transmission, or next to each vehicle group you will find a “click here link” for vans with information on the vehicle. Prices are as a daily rate and the reservation total value.

Choose your vehicle by clicking “quote/book now.” Your booking information will be displayed. Vehicle, collection and drop locations, date, time and total amount of your reservation. You can then complete your details such as Name, Email, Telephone, and Flight Number (if applicable).

Add extra items to your booking such as an additional driver or sack truck (trolley for help moving goods). You will receive an email confirmation voucher explaining all relevant collection information and details. Please ensure you have your confirmation email available in digital form or printed.

Pre-Paid Bookings

Please note that prepaid bookings are non-refundable and cannot be amended. Failure to collect your vehicle will result in a no-show fee equivalent to 100% of the booking amount. Similarly, failure to meet the requirements outlined in the terms and conditions will also result in a 100% loss of the booking amount.

Failure to meet our credit check terms, a cancellation fee of £29.95 will apply. In the event that the rental fee is lower than the cancellation fee of £29.95, the cancellation fee will still apply, resulting in a 100% loss of the booking amount. If you have paid more than this amount, then we will refund the difference.


2. Payment Methods

We accept all Credit and Debit Cards. Please note that to be able to collect your van you either must have a credit card in the driver’s name for your deposit or you can upgrade to an excess waiver package that suits you and pay with your debit card. Standard deposit from £1500. We do not accept cash payments under any circumstances.

We do not accept virtual credit cards or cards without an embossed card number.


3. Vehicle Types

Vehicle types may differ. The vehicles displayed, and models are our most common vehicles in the category. We will provide you with either this model or a similar vehicle in size and engine type.

We cannot guarantee that the make or model of the rental vehicle will be the same as the displayed on our website.

4. Cancellation Policy

Free cancellations apply to Drivalia direct bookings. Should you wish to cancel your booking please see our “Manage My Booking” page www.drivalia.co.uk/manage.

If you fail to tell us of your cancellation and therefore do not arrive to collect your reserved hire vehicle, we will charge you up to 3 days’ rental. Please note if you fail to meet the “Drivers Requirements” section below, a free cancellation is no longer valid.


5. Driver’s Requirements

Drivers Licence

Driver’s age. Min-Max age of drivers: 23 – 80 years old.

All drivers must hold a valid full driving licence for at least 2 years.

Drivers aged 23-24 years will have an additional “young driver surcharge” of £40.00 per day. Young drivers must have held their licence for 2 years and are permitted to rent vans up to, and including, a short wheelbase (SWB).

Drivers aged 22 and below are not permitted to hire a van with Drivalia.

Hirers must bring, a full valid licence, utility bill, and a bank statement which shows incoming funds or proof of income (for UK residents) which must be dated within the last 3 months. These must match your licence address (hirers may be asked to pass an address check). We cannot accept debt demands as proofs.

A DVLA check code is required for UK hires click here for info on obtaining the DVLA check code. Business/company hires must have proof of business.

Points – endorsements:
Minor offences such as speeding/traffic signals are acceptable up to a maximum of 6 points. If you have any bans or convictions in the last 5 years, please call us before making a reservation.

International hirers must present a valid licence from their country of residence, their passport and proof of residence whilst in the UK. If the licence is not written in English, then an international driver permit is also required.

Hirers from any sanctioned countries require referral to our Insurers prior to the start of the hire. We cannot accept licences from certain countries for insurance purposes. Please check if the origin of your driving licence is accepted with a member of our Branch Support team before hiring your vehicle.


6. Insurance Excess Waiver and Covers (Included in our prices)

Third Party Liability Protection (TP):
Third-Party liability covers the driver’s liability for damage to any third-party property. The hirer is still liable for the excess amount, as stated in the rental agreement. Excess waiver insurance can be purchased to reduce the excess amount.

Fire and Theft Waiver (FTW):
Theft Waiver limits the driver’s liability for costs incurred by fire or theft of the rental van or damage incurred by the theft or attempted theft – up to £1,500.00, subject to the terms of the rental agreement.

Collision Damage Waiver (CDW):
Collision Damage Waiver limits the driver’s liability (excess) up to £1,500.00 if the rental vehicle is damaged, subject to the rental agreement. This protection applies to all authorised drivers of the rental van only.

CDW is an optional insurance cover we include in the rate due to advertising regulations. This can be removed at any time on request. For more information on this, please call reservations on 08000 75 80 75.

You can reduce your liability excess online or at the rental desk down to £350.00.

Security Deposit: this sum is only required where an excess policy is not taken out.


7. Deposits and Covers

A zero deposit option is available if excess protection is taken out. These limit your liability in the event of any damage that may occur.

Drivalia vans insurance does not cover contents and multi-drop use.

Excess reduction on vans starts from just £11.00 per day for longer rentals. Additional excess packages are available at the point of hire and online which the staff will be happy to discuss. Deposits can only be made with the hirer’s credit card at £1,500.00 pre-authorisation.

Local van hirers are defined as: UK residential address within 20 miles of a Drivalia Branch. UK hirers may be required to agree to and pass a credit – address check. Otherwise, they must hold a credit card with the excess value available.

Van hire mileage. UK Mileage allowance starts at 150 free miles per day depending on the length of your rental. For more information click here to see our van mileage table. Unlimited mileage is not available on van hire bookings.


8. Included in All Our Rates:

UK and Northern Ireland Daily Free Mileage: You can purchase extra mileage at the rental counter if you will need more. The charge for exceeding the mileage allowance is 0.20 pence per mile, charged at the end of your rental.

Road Fund Tax / VLF: Vehicle Licencing and road tax is included in our online prices

24/7 Nationwide Breakdown Assistance: In the unlikely event of a breakdown, acident or other please call 0151 3190257 for assistance.

One Way Rentals: If the drop-off location is other than the pick up an additional fee is calculated in our rates. This surcharge is included in our rates and will show at the information banner at the top of the screen when a one-way rental is requested.


9. Not Included in Our Rates (Optional Extras):

  • Sack Trucks/Trolley: For heavy loads, £8.00 per day bought online and at the rental desk (weekly bookings at £5.00 per day).

  • Free Extra Driver: we may offer a “Free Extra Driver” as part of a promotion. If you qualify for a free extra driver, confirmation will be via email as well as in your booking record for our staff members to see on the day of your collection. Please be sure to bring your booking confirmation.
  • Additional mileage charges (outside normal allowance).
  • CDW for inbound US customers: From £10.00 per day (Customers who have their own CDW coverage, must show documentation) without this, the excess is full vehicle valuation.
  • Cross Border Fee: For hirers wishing to travel from Northern Ireland to Republic of Ireland, a £25.00 fee will be charged to the rental.

10. Fuel Policy:

Our vehicles must be returned with the same level of fuel provided at the start of hire.

If you return the vehicle with less fuel than was provided, you will be charged £3.00 per litre for the missing fuel plus a re-fuelling charge of £9.50. All charges are subject to VAT.

*No refund for any fuel at the end of the rental.


11. Important Information:

Vehicle damage: Loss of, or damage to, the vehicle and/or accessories caused by driver abuse, negligence or breach of contract. In these circumstances you will be responsible to pay the full amount of the damage, regardless of the excess reduction package purchased.

If the hirer is found to be negligent in the use of the vehicle and the damage is beyond viable repair, Drivalia will charge for the full value of the vehicle.

Unused rental days: Should the hirer decide to return a Drivalia vehicle back to our branch earlier than originally planned, we shall not refund you for unused rental days.

Traffic Fines: If the vehicle receives a fine during the rental period, you will be responsible for full payment of the fine as well as a £55.00 traffic fine management fee per fine (the administration fee will be charged to your card provided).

DVLA Call for UK licence Holders check: Failure to bring the code will result in a call to the premium rate DVLA number incurring an additional charge of £10.

Overseas Travel: Hirers can take their hire vehicle overseas. To avoid delay, please contact us at least 48 hours in advance to allow us time to supply the required VE103b document. Green card cover fee and overseas charges apply if travelling to Europe, as well as between the UK and the Republic of Ireland. Hirers must have and produce at point of collection their own European breakdown insurance cover policy.

Drivalia does provide roadside assistance, but this extends to UK mainland only.

Free roadside assistance is not included when taking the vehicle to locations off the UK Mainland. Customers will be liable for any recovery and roadside assistance costs incurred when the vehicle is off the UK Mainland. Hirers must provide their own “full European breakdown cover” which must be produced at point of collection of your hire.

A cross border fee of £50+VAT will apply if the hirer takes the van to the Republic of Ireland through Northern Ireland or from UK Mainland to Northern Ireland.

Overseas Travel vans: Only small vans are permitted to travel out of the UK up to short wheel base, i.e Transit Custom.

** Outside mainland UK classed as Offshore Islands to and from Northern Ireland from Great Britain, Republic of Ireland and mainland Europe.

We expect the hire vehicle provided to be returned in the same condition provided.

Valeting and Waste Removal Fee: If the vehicle requires more than the usual standard cleaning on its return to restore it to its pre-rental condition, removal of any goods or waste, allowing for fair wear and tear, a valeting fee of up to £500.00 will apply.

Smoking Policy: We provide and implement a no smoking policy for all vehicles. It is against the law to smoke in a company vehicle. If the vehicle is returned with odour of smoke, vape or other from any source, a charge may be levied. A fee of up to £300.00 to remove the smoke odour may be charged.

Late return fee:
If you wish to keep the vehicle for longer then the initial rental period and fail to extend and pay outstanding balances, you will be liable for an extra £25 daily late return fee, on top of the vehicle rental charges at the current price, until the rental is extended.

Debt Recovery:
Should there be outstanding charges within your booking, we will pass the account to our debt recovery company and you will be liable to pay us a £20 admin fee, all recovery charges and legal fees.

Pets: You are permitted to have pets in your hire vehicle provided they are in a carrier at all times. If the vehicle requires cleaning of pet hair or odour, then you may be charged a valeting fee at the branch’s discretion.

Hire Duration:  As per our insurance regulations, hirers may not rent a vehicle for more than 90 days in any 12-month period. An extension of the hire period of rental vans is possible, however, all vans must visit the hire location in no longer than 30-day intervals, the van will be inspected by our staff to determine the condition. Any charges must be settled prior to the vehicle leaving site.
